How do I write a partnership proposal?

Here’s a step-by-step framework to write a partnership proposal that gets opened, read, and acted on. Treat this as a fill-in-the-blanks template.

Phase 1: Pre-Writing Intel (Do This First)

Don’t write until you can answer these:

  • Their Priority: What’s their CEO talking about in recent press/LinkedIn? (Growth? Efficiency? New market entry?)
  • The Gap: Where does your solution fill a hole in their current offering?
  • The Trigger: Did they just raise funding, launch a product, or enter a new market? (Reference this in your opening line)
  • Decision Maker: Are you writing to the CEO, BD Lead, or Product Manager? (Adjust technical depth accordingly)

Phase 2: The Structure (Keep It Under 2 Pages)

1. The Subject Line (If emailing)

Bad: "Partnership Opportunity"
Good: "Idea: Integrating [YourCo] into [TheirCo]’s new SMB tier"
Better: "Mutual client success: [Specific Company] + how to scale it"

2. The Executive Summary (3-4 sentences)

Formula: [Their Goal] + [Your Solution] + [The Specific Win] + [Proof]

Example: "As [Company] scales its mid-market presence, bundling [Your Analytics Tool] with [Their CRM] could reduce client churn by 12-15%. We’ve piloted this with [Similar Company], resulting in $100K in joint revenue in Q2. This proposal outlines a 90-day integration pilot requiring zero dev time from your team."

3. The Strategic Fit (Why Them Specifically)

Show you’ve done homework. Use their language (mirror words from their website/annual report).

  • Their Pain Point: "Your recent expansion into healthcare requires HIPAA-compliant reporting..."
  • Your Bridge: "...which our infrastructure handles natively, removing 6+ months of compliance work from your roadmap."
  • The Synergy: Create a simple 2x2 matrix showing:
    • Your StrengthTheir Gap
    • Their StrengthYour Gap

4. The Value Equation (Be Specific)

Partnerships fail when value is vague. Use this table format:

PartnerImmediate Value12-Month ValueResource Investment
YouAccess to 5,000 healthcare SMEs$100K revenue shareAPI integration (2 weeks)
ThemHIPAA compliance out-of-boxHigher tier client retentionCo-marketing ($10K budget)

5. The Partnership Spectrum (Reduce Friction)

Don’t ask for marriage on the first date. Offer 3 tiers:

  • Level 1 (Low Risk): Co-hosted webinar or joint case study (1 month)
  • Level 2 (Medium): Technical integration with mutual promotion (3 months)
  • Level 3 (Strategic): Reseller agreement or joint product (6-12 months)

Script: "We can start with Level 1 to validate demand, or move directly to Level 2 if you’re looking for immediate Q4 impact."

6. Social Proof (The "Similar To You" Section)

  • Logo of comparable company
  • Specific metric: "Reduced implementation time by 40%"
  • Quote: "[Partner]’s team was integrated within 48 hours" — Name, Title

7. The Next Step (No ambiguity)

Bad: "Let me know if you’re interested."
Good: "Are you open to a 15-minute call next Tuesday or Wednesday to review the technical requirements? I’ll bring our Solutions Architect; suggest you bring [Relevant Stakeholder]."

Phase 3: Formatting Hacks

  • One-Pager Rule: If printed, it should fit on one page front/back. Decision makers scan.
  • Visual Hierarchy: Use their brand colors for headers (shows customization, not mass blast).
  • The "Forwardable" Email: Write it so your contact can copy-paste it to their boss without editing. Include a 3-bullet summary at the top for this purpose.

Phase 4: Post-Send Strategy

  • Day 3: Send a short follow-up with a relevant industry article (adds value, not "just checking in").
  • Day 7: Call if no response. Reference specific line from proposal: "Did you see the revenue projection on page 2?"
  • Day 14: Final breakup email: "Seems like timing’s off—happy to reconnect in Q1 when [Their Initiative] launches."

To customize this further for you:

  1. What industry is the target partner in, and what type of partnership are you proposing (e.g., technology integration, co-marketing, distribution/reseller, or strategic equity)?
  2. Do you have an existing relationship with this company, or is this cold outreach?
  3. What’s your strongest proof point right now—do you have customer logos, usage data, or just a strong concept?
